**All access to NNU Google accounts ended on June 30th, 2024.**

Below are some additional impacts.

- Chrome Profiles - If you use your NNU Profile in the Google Chrome Browser, you will no longer be able to sign in to the Chrome Browser with your nnu.edu account. If you wish to continue using Chrome and synching all Bookmarks, you can still sync Chrome to a personal Gmail account. If you prefer not to use a personal Gmail account for work-related Bookmarks and web browsing, we recommend transferring to the Microsoft Edge browser. Edge allows you to sign in with your NNU account and will also sign you into all Office 365 web applications. - Sign-in with Google - If you sign in to 3rd party applications or websites such as Spotify and Twitter using the "Sign-in with Google" feature, you will no longer be able to do so with your nnu.edu account. - YouTube channels - If you have used your NNU Google account to create a university-related YouTube account, such as Welcome Videos for New Students, you need to take action before your NNU Google account is deleted. ***Our recommended solution is for faculty to download existing YouTube videos and upload them to Canvas Studio.***
  - On your YouTube channel, click on "Your videos"
  - Hover your mouse over the desired video and Click on Options
  - Click on Download

## Who, What, When, Where, Why?

- **Staff and Faculty** - No change to the format of your email account, i.e. gwashington@nnu.edu. To prepare your account to be moved, clean out old emails. The cleaner the email, the quicker the transfer will be. Also, check your filters and labels and eliminate old ones that are no longer used. Once filters and labels are cleaned, screenshot these so you will know if they did not transfer to Outlook. A few may not since Outlook handles filters and labels a bit differently.
  - After the move, you can still sign into Gmail to see your account layout and copy important items to a document, but you can no longer send emails in Gmail.
  - If you have many filters, the migration may duplicate the emails that apply to the filter as many times as there are filters. Filters in Outlook are different than in Gmail, so Outlook handles them in this way. If you can eliminate any filters, it will keep the size of your Outlook mailbox down rather than tripling its size. Delete old Google Docs no longer needed. Again, the leaner your document space is, the faster the transfer will be.
  - Calendars should not be impacted during migration.
  - Chats will not migrate so if there is important info in your Google Chats, copy them to a document.
- **Partners and Adjuncts** will be similar to employees. You will log in with your email address and the active directory password (AD). Some may need to call the Help Desk for assistance if you have never used your AD password.
- **Students **will go to [login.microsoftonline.com](http://login.microsoftonline.com). The Microsoft username will be the new email address. For example, George Washington’s student email account will change to gwashington@**my.nnu.edu**.
  - After the transfer, there will still be an alias of gwashington@nnu.edu so you will still receive emails. Google Drive, Email, and Calendars will move. Chats will not.
- **Alumni** email accounts will change to username@**my.nnu.edu, **and users will go to [login.microsoftonline.com](http://login.microsoftonline.com) to continue accessing their email. Alumni accounts will no longer use DUO for authentication and must set up Microsoft Multifactor Authentication. Microsoft licensing does not allow for OneDrive storage for Alumni accounts. Current Google Drive users are advised to move documents to a personal Google or Microsoft account. [Google Takeout](https://takeout.google.com) can be used to do this. ## Updates

<summary>Important Student Update - October 26th</summary>

*This notification is for anyone who currently uses Office 365 products. Others may delete or ignore it if they wish.*

Students are now synchronized over to microsoft.com and can log in using a unique email address as their username for the site and their NNU network password. 

This change does not affect our use of Google at this time. We are continuing to use Gmail, Google Drive and other Google apps until we change over to Microsoft on February 5, 2024. Here is an example using George Washington, assuming he is a student at NNU, his current email address will be unchanged for Google, but his Microsoft login will look like this.

- <span style="color: #0000ff">**Username:**</span> <span style="color: #ff0000">**gwashington@my.nnu.edu**</span>
- <span style="color: #0000ff">**Password:**</span> **Same as your NNU network password**   
      (the password you use on Canvas and the portal)

You can start logging in on microsoft.com and saving your work on OneDrive. You won't be able to send or receive email from Microsoft Outlook until February, however. We will keep using Gmail until February 5, 2024.

<summary>Campuswide Update - November 16th</summary>

Many of you have been asking great questions about the next steps for the Google to Microsoft transition. We hear your concerns!  Please be assured that the Information Technology team has been working on this project non-stop, making sure the details are in place before we open up Microsoft apps. Here are some answers to some of the questions you have asked. 

**Email - **<span style="color: #0e101a">Employees, faculty, and adjuncts will retain their current @</span>nnu.edu<span style="color: #0e101a"> email address. The February 5, 2024, migration will transfer all email accounts from Gmail to Microsoft Office 365.  After that date, you will no longer be able to receive emails using Gmail. You can still log into Gmail after the transition to confirm the transfer was successful. Office365's Outlook Web Access (OWA) is similar to Gmail in that you log into it using a browser to access your email, calendar, contacts, etc.</span>  
  
<span style="color: #0e101a">Check your current email filters to make this migration faster and more efficient. It's much better not to use filters if possible, at this time. Also, delete old emails no longer needed.</span>

**Google Drive to OneDrive - **IT will transfer your Google Drive files to OneDrive during the migration to a folder in OneDrive marked "Google Drive Migration". You do not need to move files now. After the migration, you can still log in on Google to confirm your files are in OneDrive. Your best practice will be to work in OneDrive **only** after February 5. Remove unwanted files and folders in Google Drive to make this migration smoother and quicker. Except for Gmail, Google apps will be available until June 30, 2024.

**Shared Google Drives - **We are currently testing this migration, and it is not quite ready. Hold up working on Shared Drives in OneDrive Shared Files until we have it ready.

**Teams - **MS Teams meetings on the web are operational, but email links to participants must be sent from Google Mail. Your Google calendar has a Teams meeting option now. If you continue to use Google Meets after the migration date, be aware of the cut-off date of June 30, 2024. Teams sites are not available yet. We are building those out still.

**Learning Labs Coming After Thanksgiving - **To help users become comfortable with the look and feel of the Microsoft platform, a series of Learning Labs are being scheduled after Thanksgiving through January. Lab facilitators will help you log in, present instructional videos, and help you navigate around the Microsoft applications that are ready. As more features are added to our Microsoft workspace, additional learning labs will be provided. These labs will enable you to get away from your phone and normal work environment to concentrate on becoming comfortable with Microsoft 365. An email will go out soon with the learning lab schedule and sign-ups.

<summary>Alumni News - November 20th</summary>

NNU has made the decision to move our Email platform from Google to Microsoft. Below, you will find some details that relate to our alumni email users.

- The go-live date is Feb 5, 2024 — no email will be delivered to your current NNU Gmail address after that date.
- Gmail and Google Drive storage (if you use that) will be accessible until June 2024
- As an NNU alum, you will continue to have the option of using an NNU email address. The new address format will be: yourname@my.nnu.edu
- Our Microsoft license does not allow for free storage as Google did, so there will be no cloud storage included with this transition.

If you currently use the NNU Google Drive cloud storage, you have until June 2024 to move your data to a new/different storage system of your choosing. We suggest using a personal Google account for storage, as this will make the transition of your files easier. Google offers 15GB of free space.

To create a new Google account: While in one of your current Google accounts, click on your picture in the upper right-hand corner, then choose "create new account" and follow the prompts.

There will be more communication during the first part of December when your new email accounts in Microsoft have been created. This communication will provide instructions on how to best communicate with IT for assistance in getting access to the account.

<summary>Campuswide Update - November 21st - The Microsoft 365 Platform is Available</summary>

We are providing an opportunity for you to log in on the Microsoft 365 platform today to click around and take a look during the next several days. There are a few things you should know:

1. You will have access to log in and explore the web apps, such as Outlook, Word, and Teams, but you will not have full functionality on all of the features. We do not recommend downloading desktop apps at this time. You should simply explore the web apps as you would Google Docs, Google Meet, Google Sheets, Gmail, etc.
2. You will not be able to email from Outlook yet since our mail is still pointed at Google. That functionality will not go live until after February 5, 2024.
3. There won't be any direct technical support from IT Services during this trial period for you. We will not be able to give you extra features or permissions until the transition is completed in February.

<summary>Employee Update - December 1st</summary>

In response to requests for training and opportunities for familiarization with Microsoft, several lab times have been provided for employees to have a quick tour of Outlook. So far, we have served 40 participants. During these labs, participants spent time finding needed features for their mailboxes as well as helping each other. It's been a great collaborative effort. Future labs for other Microsoft web apps will be after Christmas and will be offered virtually along with in-person lab times.

Students and Employee Microsoft accounts are ready for you to log in and check out the workspace. Please note that until February 5, 2024, we are in a testing environment. These web apps may not function as they will when we fully transition. Some apps, such as Teams and SharePoint, are being configured, but we hope to have those available for training by the end of December or early January. Thanks for continuing to be patient with the configuration process.

<summary>Message Board - December 6th - Shared and Delegated Email Accounts - Your Help Needed</summary>

Many of you have asked when we will be moving delegated, generic, and shared mailboxes to Microsoft. The answer is that we are building those accounts now and you can help.

IT Administrators will prepare generic and delegated email accounts in the Microsoft “Shared Mailboxes” site with the access permissions requested, however, there seem to be many of these email accounts that have been abandoned over the years. IT needs your help to make sure only the delegated and/or generic accounts that are still needed are migrated. 

Definitions:

- Delegated accounts are mailboxes where several people have access to view and use the contents. These email accounts can be departmental or committee email accounts with several delegates to them.
- Generic accounts are mailboxes where one person might be checking the mailbox, but the personnel for that account changes each year. There is a point person who makes sure access is granted to the correct user as personnel come and go each year. This could be an SGA account for example. IT will need the name of the point person for your generic accounts.

If you are the point person for a delegated or generic email account, please be on the lookout for a form link being sent to all delegated and generic email inboxes. Complete the form by December 15th. There is a spot for you to indicate if the email account is no longer needed and if it is ready for us to delete it. 

  
This work must be accomplished*** by Friday, December 15th,*** so we can create these email accounts on Microsoft and prepare for the transition. Unclaimed/unconfirmed email accounts will not be moved to Microsoft on the migration day, February 5, 2024.

<summary>Message Board - December 12th - Google Shared Drives</summary>

We are moving into another phase of the Microsoft transition. Here is the latest.

In preparation for this part of the migration, IT Services has found a list of approximately 1,300 Google Shared Drives. Many of these Shared Drives are obsolete, and many are non-departmental and belong to individual users.  When Google Shared Drives are moved to Microsoft, they will become a Microsoft SharePoint site and will have a designated manager. This person will claim and oversee each department or committee SharePoint Site.  Departments, Offices, and Committees will have a designated Parent SharePoint Site with subfolders and files for each department under the Parent SharePoint. Drives migrated to a SharePoint Site will retain the permissions of their current Google Shared Drives.  
  
The following steps are urgently needed before IT can move ahead with migrating data to SharePoint Sites and individual OneDrives.** **

- **Claim your Google Shared Drives **- Please complete this form to identify your Shared Drives and the SharePoint Site or individual OneDrive to migrate to.
-

- **Identify folders for deletion** - Shared Drives that are no longer needed can be deleted by IT Services if you submit a ticket on [help.nnu.edu](http://help.nnu.edu/). Please clearly specify the folder name in your tickets. Alternatively, renaming a Shared Drive to "Delete" will identify it for IT action.

Google Shared Drives not claimed by January 15th will not be migrated.

<summary>Message Board - December 18th - Google to Microsoft Transition Update </summary>

This weekly overview of the Google to Microsoft Project is to keep you informed on the progress made toward the migration that is set for the week of February 4, 2024. Here are the latest:

- Anyone part of a workgroup or student group that has a generic email account: If your committee or workgroup still has not claimed your group email account (i.e. sga@nnu.edu or art@nnu.edu) <u>**do so TODAY**</u>! Here is the link to the <u><span style="color: #3366ff">[generic email account claim form](https://forms.gle/2jMDRxraNwatT2uu7)</span></u>. ***(Before you submit a form, check with your team to see if anyone else did a generic account claim form.)***
- Google Shared Drive folders - When these are moved, they will have a folder hierarchy on SharePoint according to the college, committee, or sector to which these files belong. For example, a SharePoint site for the College of Business will house the files for MBA, STEP, TUG, and other associated subfolders. If you have not told us you want to keep your Shared Drive, use the Google Shared Drive <u><span style="color: #3366ff">[claim form](https://forms.gle/8WBeruCYPZVvB3sv6)</span></u><u>[.](https://forms.gle/8WBeruCYPZVvB3sv6)</u> This must be done by Friday, December 22, 2023, to transition your drive on February 5, 2024.

NOTE**: **This migration is only for Google data and <u>does not</u> involve the N: or S: network drives that reside on NNU physical servers.   
Important Things to Remember:

- <u><span style="color: #3366ff">[Google Takeout](https://support.google.com/accounts/answer/3024190?hl=en)</span></u><span style="color: #3366ff">:</span>
  - Students can use Google Takeout to transfer emails, data files, and app files (such as Google Photos) to a personal Gmail account. Microsoft has a very limited photo and video space. Whatever is in your Google email and drive will transfer to Microsoft in February during the migration. <span style="color: #3366ff">[Transferring your content](https://support.google.com/accounts/answer/6386856?fl=1&sjid=14923177919286764232-NC#zippy=%2Csee-your-copied-files%2Cwhat-changes-on-copied-files%2Cmy-drive-files-that-arent-copied)</span> is also an option.
  - Alumni will have an email-only Outlook account after February 5, 2024. If Google Drive files, chat history, Keep Notes, personal photos, and other stored items are needed by current alumni, Google Takeout can transfer these to a personal account before January 1, 2024.
  - Employees and adjuncts can only use Google Takeout for personal photos and a few other Google apps. Google Drive and email are protected by Google Workspace due to FERPA and HIPAA Security Rules.

<summary>Message Board - January 8th - Google to Microsoft Update - NNU Faculty and Staff</summary>

As the February 5th Go-Live date for the Microsoft Transition gets closer, we want to thank you for being responsive to our requests for help in sorting the data to be moved. This process is a little like reorganizing a whole library system and putting books in place according to departments and offices rather than randomly placing them on shelves.   
  
Here is where the transition process stands today:

- The creation of Microsoft accounts for employees is done now, but account contents have not been fully synchronized from Google to Microsoft. Google Drive, email, and calendars will all be synchronized by February 5th.
- When we repoint our mail services from Google to Microsoft, the change will be instantaneous on our part, however, there will be some servers around the globe that may take more time to see this change. After February 5th, you should check Gmail for a few more days to make sure some emails didn't go to that mailbox instead of Outlook.
- You will have access to your Google accounts for several weeks to make sure emails or files copied over properly; however, you will not be able to email from Gmail as of February 5th.
- On Monday, February 5th, use any browser to go to [https://login.microsoftonline.com](https://login.microsoftonline.com/). Your NNU email address and your network password will be used to access Outlook email and other Microsoft apps.

<summary>Message Board - January 8th - Google to Microsoft for Students</summary>

Students,  
We'd like to update you on the progress of the Google to Microsoft transition that will happen on February 5, 2024.

- You will continue to use Gmail through February 4th. You do not need to do anything to move your Google account content. This will be done for you. However, if you store any personal photos on your NNU Google account, you will need to back those up elsewhere. Microsoft does not have comparable photo and video storage. [Here is a how-to article on Google photo backups.](https://support.google.com/photos/answer/6193313?hl=en&co=GENIE.Platform%3DiOS&oco=0#zippy=%2Cwhat-you-need-to-back-up-photos-videos)
- We recommend not doing a lot of email on Sunday, February 4th, since global email servers will be trying to catch up to the change from Google to Outlook. You will be able to check Gmail even after the switch, just in case an email is sent to Gmail instead of Outlook during the switch.
- On February 5th, all of NNU begins using Microsoft Outlook for email service. You will log in to [https://login.microsoftonline.com](https://login.microsoftonline.com/) with your new Microsoft email address, which is similar to your Google login, but instead of your username**@nnu.edu**, it is your username**@my.nnu.edu.**  From there, click the app button and select Outlook. You won't be able to email from Google after February 5th.
- Your Microsoft password is the same as the password you use for Canvas, Wi-Fi, and the NNU portal.
- You will see 2-step authentication requirements on Outlook, similar to what you use on Google when you first log in.

  
<u>**Other Notes:**</u>** **NNU email is still the main way that information regarding registration, fees, educational updates, class communication, and club information is sent to students. Check your email often!

<summary>Alumni News - January 12th</summary>

**All new alumni accounts have been created in the Microsoft environment.**<span style="color: #172b4d"> You can now call the NNU IT Help Desk </span>[during normal business hours](https://help.nnu.edu/)<span style="color: #172b4d"> at 208.467.8111 to receive help in setting up the new password. </span>  
  
<span style="color: #172b4d">Please remember that all of your current emails residing in Google will be moved to Microsoft before February 5. When you log into your new Microsoft account your current emails will not be in there. We are doing this so you get logged in and familiar with the new email system by February 5.</span>  
  
<span style="color: #172b4d">We have a few thousand alumni accounts that need to be set up, so if you experience issues contacting the Help Desk, please be patient and remember email will stop being sent/received via Google on February 5. </span>**So, you have 3 weeks to get logged in.**

<summary>Message Board - January 25th - Google Drive Bulk Operations </summary>

The bulk migration of Google individual and shared drive folders will occur Wednesday, January 31st, through Monday, February 5th. Work must continue, but please avoid making drastic changes in your Google Drive folders during this migration. Mass deletions, additions, and moves of your files while they migrate may result in errors or stop your files from migrating correctly. As you work on documents late next week, keep track of the changes made so you can make sure your OneDrive documents reflect those changes.

The network operations team will be busy finding and correcting errors several days after migration, so please be patient. It may take a few days after the 5th to see the final results.

<summary>Message Board - March 12th - Auto-forwarding Rules on NNU Employee Email Accounts </summary>

Beginning March 15th, 2024, the auto-forwarding feature in Microsoft Outlook for all staff and faculty NNU email accounts will be discontinued due to security risks that have been identified. This change has been reviewed by NNU’s Cybersecurity office and the Technology Advisory Board (TAG) and has been approved. 

**Security Risk Information:** 

Auto-forwarding poses significant security risks for our organization: 

- **Loss of Proprietary Information:** This feature allows individuals to forward all emails, including proprietary and confidential information, to personal or external email addresses. This creates uncertainty about the extent of sensitive data forwarded off-campus and is especially concerning when an employee separates from NNU.
- **Security Vulnerabilities of Personal Accounts:** Forwarding work-related information to personal storage increases the risk of compromising sensitive data due to the inherent security vulnerabilities of personal email accounts.
- **Increased Risk of Email Account Compromise:** Enabling auto-forwarding increases the likelihood of email account compromises, allowing hackers to divert emails to unauthorized recipients, leading to data breaches.

While some may use this feature, the priority is safeguarding NNU's organizational security and sensitive information. If you have questions or concerns, please contact IT Services through the ticketing system, help.nnu.edu.

As of this week, licenses for *Microsoft 365 Apps for Students* (the desktop versions of Outlook, Excel, Word, PowerPoint, OneNote, etc.) have been enabled for all current degree-seeking students. Here are a few things for you to know:

- You no longer need to complete a registration form to obtain the *Microsoft 365 Apps for Students* license.
- When you log in on [https://login.microsoftonline.com](https://login.microsoftonline.com/), you can opt to use the web apps or install the software on up to five devices you own. The download/install link for the desktop Office apps is in the upper right corner, labeled "Install and More" when logged in.
- NNU licensing for *Microsoft 365 Desktop Apps for Students and Office 365 A1 for Students *(online apps for Outlook, Excel, Word, PowerPoint, OneNote, etc.) is licensed only for <u>**degree-seeking NNU students**</u>. The MS 365 licenses will be deactivated when you leave or graduate.
- After you leave NNU, you can keep your NNU email address as an alum, but due to Microsoft licensing, you will no longer have access to NNU desktop or web software apps or OneDrive Storage.

- Chrome Profiles - If you use your NNU Profile in the Google Chrome Browser, you will no longer be able to sign in to the Chrome Browser with your nnu.edu account. If you wish to continue using Chrome and synching all Bookmarks, you can still sync Chrome to a personal Gmail account. If you prefer not to use a personal Gmail account for work-related Bookmarks and web browsing, we recommend transferring to the Microsoft Edge browser. Edge allows you to sign in with your NNU account and will also sign you into all Office 365 web applications. IT audits have identified the owners of shared files and folders being accessed in deprecated Google Shared Drives. On February 5th, all NNU users were migrated to Microsoft, and on June 30th, all Google accounts and services were ended. Effective December 20th, all external sharing links to Google files and folders will cease to work as part of the ongoing deprecation of NNU's Google Workspace. This change is being implemented to enhance data security and ensure compliance with privacy policies and industry standards.

**What this means for you:**

- Any existing external sharing links will be disabled.
- External collaborators will no longer have access to files and folders shared via these links.

We strongly encourage you to identify and coordinate early with your external stakeholders to avoid any disruption. As stated in prior announcements, the IT Department is not responsible for migrating any files modified or created in Google after February 5th, 2024. Stakeholders need to download any files from the shared folders before access ends to avoid permanent loss of access. 

Campus employees must utilize the resources provided through Outlook, OneDrive, Teams, and SharePoint for all file management and collaboration needs. Institutional data should be managed and maintained in NNU-licensed and approved cloud and on-premises locations such as Department SharePoint Sites or the S: Drive.

**Answer: **Beginning February 5th, IT Administrators will start actively transferring all Google files to each user’s new Microsoft OneDrive. All Sheets, Docs, and Slides will be converted to Excel, Word, and PowerPoint. Due to the differences between Google and Microsoft, some converted files may not retain all formulas and formatting. Google Forms do not transfer. Users are encouraged to begin recreating forms in Microsoft as soon as possible ([https://support.microsoft.com/en-us/forms](https://support.microsoft.com/en-us/forms)). File transfer will only occur once and will not overwrite any existing OneDrive files. <span style="color: #003366">All files with a universal extension such as jpeg, mp3, and pdf will transfer. The primary exceptions are proprietary Google extensions that cannot be converted to a MS equivalent. </span>All folders and files will be transferred into a new "Google Migration" folder. Any subsequent changes to Google files or folders will not be replicated in OneDrive. Google Drive will be available for cross-reference of documents and supported until June 30th, 2024. **Note: **<span style="color: #172b4d">Microsoft licensing does not allow for OneDrive storage for Alumni accounts. Alumni storage and documents will not be migrated. Alumni are advised to move documents to a personal Google or Microsoft account.</span>

First, policy, best practices, and proper permissions are needed to ensure a successful transition. While maximum usage of Microsoft applications is encouraged beginning February 5th, Google Drive and Meets will be supported until June 30th, 2024. Users will be responsible for updating modified Google Drive files in Microsoft between February 5th and June 30th, 2024.

**Answer: **IT Administrators must manually create all Microsoft “Shared Mailboxes” and replicate necessary access permissions for departmental and delegated email accounts (e.g. marketing@nnu.edu and sgasecretary@nnu.edu). The IT office has emailed all departmental and delegated accounts to validate account necessity and verify delegated access. <span style="color: #222222">Mailboxes not claimed by December 15, 2023, will not transition to the Microsoft platform and will no longer send/receive email after February 5, 2024</span>. 

**NOTE: **Departmental and generic Shared Mailboxes are email only and do not have a SharePoint site or OneDrive associated with them. Users with direct access to a generic account and who use the associated Google Drive must identify a designated SharePoint Site to store documents currently in a generic account Google Drive.

Each Office, Department, and Commission will be designated a SharePoint Site to house the over 1300 existing Google Shared Drives. Random SharePoint sites outside of NNU official Offices, Departments, and Commissions will not be permitted. All Shared Drives for each program, process, procedure, curriculum, etc, within a Department and sub-departments will be moved to the centralized Departmental SharePoint Site (e.g. Information Technology SharePoint Site will contain all Shared Drives data from IT Services, Net Ops, Security Manager, etc) with applicable inter-department folder permissions. Migration will retain existing folder and file permissions. IT is working to identify Department ownership of Google Shared Drives in order to successfully migrate all data to the correct SharePoint Site. Communications have been sent campuswide for users to claim Google Shared Drives and facilitate our efforts. **NOTE: **Non-departmental Google Shared Drives shared only among a few individuals must be identified for migration to a single user's OneDrive and re-shared with other users.
