This is Quick Start Guide for MiCollab, a desktop companion software for the phone system for PC's. Please use the desktop version for regular Windows computers and the web app for Mac computers. There are many features available that you will discover as you use this software. If you wish to find out how to do a specific MiCollab task, you are welcome to ask for more training from the Office of Information Technology, 208-467-8951. 

<u>**Getting Started**</u>

Most campus-managed Windows computers have MiCollab installed and have an icon on your desktop.  Double-click the icon to open the program.  It looks like this:

**<u>Setup</u>**

During the initial setup, you may be prompted to upgrade to the latest version. Click Upgrade!

The login screen is the next window to appear. Your user name will be the first part of your email address without @nnu.edu. Your temporary password is your extension number. 

After your first login, you should be prompted to make a new password. We recommend that you select "Remember Me" and "Log me in automatically" (as shown below) so you don't have to login on this every time you login on your computer.

<u>**Personalize Your MiCollab**</u>

You may personalize your setup by clicking on the drop-down arrow on the top of the status window and selecting Manage Account. In this view, you can change or upload a picture, change the password on MiCollab, change your voicemail PIN, and choose other defaults.

This is also a good time to make sure MiCollab automatically comes up when you log in on your computer. Check both of the options beside your picture if you didn’t do this on the initial setup.

You can fill in your contact info so you can choose to forward to a cell phone if you want that possibility in the future.

<u>**Managing Statuses**</u>  
When the program is up and running, your status and how your phone is answered will be displayed as shown in these examples. When you are “In the office” the status usually shows it is sending calls to your desk phone. If it is not showing the correct status or location for your calls, you can correct this by clicking your current status, then clicking “Manage Statuses”.

Here you can choose from several pre-made statuses. You may also create a custom status field, showing your usual office hours if you like, or add comments to other statuses by clicking Manage Statuses.

Click on the status you want to check the rules for. For example, for “In the Office”, checks that the incoming calls are coming to your desk phone. If they are set to something else, you can change them here.

In the "More Options" button, you can tell the system to have calls from a specific phone number go directly to voicemail, or even block calls from certain numbers. To add that rule, click on Add and put in the information.

After the initial setup, a popup will appear for incoming calls showing who is calling.  You will have the option to answer with hands free mode, send it to another extension, or send the call directly to your voicemail.

When you leave for the day or if you step into a meeting, set your status to the correct option, and your calls will go directly to the number or voicemail box that you set up.  You can have calls forwarded to your optional phone numbers (such as a cell phone or an associate’s phone) if you are expecting an important call to come in when you are away from your desk.
